A chronology is only as good as its citations. Here's what to look for in software that helps your team build one, and how Meruit does it.
A medical chronology is a dated summary of a client's treatment: each visit, the provider, what was found or done, and what it cost. In a personal injury case it is the backbone of the demand. It shows the injury, the treatment that followed, and the medical specials (the bills) the claim is built on.
A good chronology lets anyone check any line in seconds. That means every entry points to the record and the page it came from. An adjuster or defense lawyer will look for gaps in treatment, entries that don't match the records and totals that don't add up. Page-level citations are how you answer them.
Records arrive in batches from several providers, often hundreds of pages at a time, in different formats and orders. Someone has to read every page, pull out the visits, note the billed amounts and keep the citations straight. In a small firm that's usually a paralegal's week, and it's work that gets interrupted by everything else.
That delay is felt by clients too. The chronology is often what stands between a finished course of treatment and a demand going out. A faster, well-cited chronology means a demand that's ready sooner and holds up better.
In Meruit's medical records and chronology, you upload PDF records to the matter as they arrive. On the Growing Practice and Large Firms plans, Meruit reads them page by page and AI suggests entries for the chronology: the date, the provider, what happened and the billed amount.
Every suggested entry carries a page number and a quoted line from the record. Before you see it, Meruit checks that the quote really appears on that page; if it can't find the quote, the suggestion isn't shown as sourced. Your team approves, edits or rejects each entry, and nothing joins the chronology until someone does.
As entries are approved, Meruit totals the billed amounts into the medical specials. When it's time for the demand, Meruit's demand letters pull in the approved chronology and the specials total, so every dollar in the letter traces back to a page.
On the free Essentials plan you can upload records (up to 200 record pages a month) and build the chronology by hand. Text recognition for scanned, image-only pages is coming soon; until then, Meruit tells you which pages it couldn't read so your team can review them directly.
Software that turns a stack of medical records into a dated list of visits, treatment and bills, with each entry pointing to the page it came from. Personal injury firms use the chronology to value a claim and write the demand.
It can suggest entries, but it shouldn't have the last word. In Meruit, AI suggests each entry with a page and a quoted line, checks the quote really appears on that page, and nothing joins the chronology until someone on your team approves it.
PDF files with a text layer, which is what most electronic health record systems and records vendors produce. Scanned or faxed pages that are only an image need text recognition, which is coming soon; until then, review those pages by hand.
Growing Practice ($249 a month for the firm, 3,000 record pages a month) and Large Firms ($800 a month, 15,000 record pages). On the free Essentials plan you can upload records, up to 200 pages a month, and build the chronology by hand.
Records are encrypted, kept separate from every other firm's data and visible only to people who can see the matter. We'll sign a HIPAA business associate agreement with your firm before you upload real medical records.
